Introduction

Artificial intelligence supports you in developing digital learning content in Knowledgeworker Create. Generate suitable outlines, text sections, or images to develop e-learning content faster than ever. Afterwards, you can translate courses into the languages needed in your company with just a few clicks. Below we answer frequently asked questions about AI.

What AI-based assistant features does Knowledgeworker Create offer?

Knowledgeworker Create integrates artificial intelligence via the assistant KAI directly into the authoring process. KAI supports:

  • Creating outlines for e-learning courses,
  • Generating texts,
  • Transforming existing content (e.g. PowerPoint or PDF files),
  • Generating relevant images,
  • Creating questions, and
  • Translating learning content.

You decide whether to use all or just selected assistant features.

Are my data safe when using AI assistants?

Knowledgeworker Create uses third-party services ("AI services") to provide AI functionality. To operate these services, certain information must be sent to them. For instance, source language text is transmitted to an AI translation service to generate target language content. This section explains what data is shared. The integrated AI services guarantee that transmitted data is not used for training the respective AI. However, you should avoid transmitting confidential information.

Text and image generation

To generate a course outline in Knowledgeworker Create, all settings and available text descriptions (e.g. topic, audience, tone, title, and description) are sent.

For generating text blocks in the editor, a chat view is available. All chat messages are sent to the AI service. Responses are stored only in Knowledgeworker Create, and only if explicitly added to content.

To generate an image, only the author's description is sent. The image is stored exclusively in Knowledgeworker Create.

You are always in full control of which data you transmit.

Transforming existing texts in Knowledgeworker content

When editing existing content with AI, you choose a function directly on the element in the Content Editor. That element is sent to an AI service for transformation. Activation of this feature is your consent to transmit the content.

Transforming existing file content (e.g. PowerPoint)

To create a course from existing materials, upload a document (e.g. PowerPoint or PDF). The document is converted into text and sent to an AI service to generate course titles, descriptions, outlines, and content.

You choose the source documents and thus define what is transmitted.

AI-powered translation

When using integrated AI translation, all source content is fully sent to the translation service. We have contractual agreements ensuring data is neither stored nor used for training. We also have a data processing agreement in place for cases involving personal data.

Data privacy

No personal data is transmitted to AI services, as requests are sent by Knowledgeworker Create, not by or on behalf of the user. An exception applies if the author explicitly enters personal data in prompts or uploads documents containing such data.

We generally recommend enabling use of integrated AI features within Knowledgeworker Create. This approach offers greater data protection and more efficient workflows than using external tools.

Security measures of currently used services

Do I need to train my authors to use the AI assistants?

The AI features are intuitive and do not require training.

However, we recommend raising awareness among authors for responsible usage of AI features.

  • Confidential data (e.g. product descriptions, customer data, internal information) should not be entered into chat fields or uploaded as documents.
  • AI models are based on data with limited time coverage. Content may be outdated. Current developments are not reflected.
  • AI-generated content is based on statistical probabilities. Although often high-quality, accuracy cannot be guaranteed.
  • AI services may generate discriminatory, defamatory, or misleading content, reflecting societal biases. All generated content should be reviewed by a human author.
  • Copyright of AI-generated content remains a complex issue. Since AI is trained on various sources, it may reproduce copyrighted structures or content. Authors should review output for any protected material.

Summary

Integrating artificial intelligence in Knowledgeworker Create provides innovative support for digital content development. The KAI assistant enhances authoring processes across multiple areas—from outlines to translations—while maintaining high data security. Although specific data must be shared with AI services, strict data protection measures safeguard their confidentiality.

Authors must act responsibly, avoiding confidential or personal data in prompts, and verifying the accuracy and copyright status of generated content.

AI functionality is intuitive, but we recommend author sensitization for responsible use.
