Introduction

Artificial intelligence supports you in developing digital learning content in Knowledgeworker Create. Generate suitable outlines, text sections, or images to develop e-learning content faster than ever. Afterwards, you can translate courses into the languages needed in your company with just a few clicks. Below we answer frequently asked questions about AI.

What AI-based assistant features does Knowledgeworker Create offer?

Knowledgeworker Create integrates artificial intelligence via the assistant KAI directly into the authoring process. KAI supports:

  • Creating outlines for e-learning courses,
  • Generating texts,
  • Transforming existing content, e.g. PowerPoint or PDF files,
  • Generating relevant images,
  • Automatic dubbing using the text-to-speech function,
  • Creating questions, and
  • Translating learning content.

You decide whether to use all or just selected assistant features.

Are my data safe when using AI assistants?

Knowledgeworker Create uses third-party services ("AI services") to provide AI functionality. To operate these services, certain information must be sent to them. For instance, source language text is transmitted to an AI translation service to generate target language content. This section explains what information is transmitted to AI services. The integrated AI services guarantee that transmitted data is not used for training the respective AI. However, you should avoid transmitting confidential information.

Text and image generation

To generate a course outline in Knowledgeworker Create, all settings and available text descriptions, e.g. topic, audience, tone, title, and description, are sent.

For generating text blocks in the editor, a chat view is available. All chat messages are sent to the AI service. Responses are stored only in Knowledgeworker Create, and only if explicitly added to content.

To generate an image, only the author's description of the image to be generated is sent. The image is stored exclusively in Knowledgeworker Create, not in the AI service.

You are always in full control of which data you transmit.

Automatic dubbing of texts

To create audio files using AI text-to-speech, enter text in the media editor. This text will be sent to the AI service and converted into an audio file. You are always in full control of which data you transmit.

Transforming existing texts in Knowledgeworker content

When editing existing content with AI, you choose a function directly on the element in the Content Editor. That element is sent to an AI service for transformation. By activating the function on the element, you are responsible for determining when Knowledgeworker Create transmits content to AI services.

Transforming existing file content (e.g. PowerPoint)

To create a course from existing materials, upload a document, e.g. a PowerPoint or PDF document. The document is converted into text and sent to an AI service to generate course titles, descriptions, outlines, and content for your course.

By selecting the source documents, you are responsible for determining which content is transmitted to the AI service.

AI-powered translation

When using integrated AI translation, all source content is fully sent to the translation service. We have contractual agreements ensuring data is neither stored nor used for training. In addition, we have concluded a data processing agreement with the AI service in case personal data is included in the transmitted content.

Data privacy

No personal data is transmitted to AI services, as requests are sent by Knowledgeworker Create, not by or on behalf of the user. An exception applies if the author explicitly enters personal data in prompts or uploads documents containing such data.

We generally recommend enabling use of integrated AI features of authors within Knowledgeworker Create. This approach offers greater data protection and more efficient workflows than authors using external tools individually. In addition, the work process is significantly more efficient, as there is no need to copy content between different external tools.

Sub-processors for KAI

Do I need to train my authors to use the AI assistants?

The AI features are intuitive, so no training is required to use them.

However, we recommend raising awareness among authors about the responsible use of AI assistants before activating them.

  • Confidential data, e.g. product descriptions, customer data or other internal information, should not be entered into chat fields for generating texts or uploaded as documents.
  • AI models are based on data with limited time coverage. Content may be outdated. Current developments are not reflected.
  • AI-generated content is based on statistical probabilities. Although often high-quality, accuracy cannot be guaranteed.
  • AI services can also generate discriminatory, defamatory, or misleading content, as the algorithms incorporate societal prejudices into their models (cultural, racial, religious, ideological bias). Generated content should always be checked by an author afterwards.
  • The issue of copyrights for AI-generated content continues to be the subject of debate. AI services generate texts and images based on the information with which they have been trained. It is therefore possible that AI may reproduce protected symbols, existing text structures, slightly modified text passages, or even quotations. Authors should therefore check individually whether individual texts contain copyright-protected components.

Summary

The integration of artificial intelligence (AI) into Knowledgeworker Create offers innovative support for the creation and optimization of digital learning content. The AI assistant KAI efficiently supports authors in various areas, such as creating outlines, generating text, transforming documents, and more. The security of your data is our top priority: While certain information must be transmitted to AI services in order to use their functions, strict data protection measures are observed to ensure the integrity and confidentiality of your data.

It is essential that authors in Knowledgeworker Create use AI tools responsibly, paying particular attention to not disclosing confidential or personal data. In addition, it is essential to carefully review AI-generated content for accuracy, relevance, and potential copyright issues.

The use of AI functionalities is generally intuitive and self-explanatory, but it is still advisable to raise authors' awareness of the need to use these technologies responsibly.
